So, You Lost Your Amrita Gradesheet
Disclaimer: This is a guide for Amrita Bangalore students.
I made a huge mistake, and lost my first and second semester gradesheets. I wanted to document what I had to do to request a duplicate gradesheet from the university becaues I found the whole process troublesome and mired in bureaucracy. The bigger problem is that the guidelines existed inside the Exam Cell’s collective consciousness rather than something that is publicly documented with a formal procedure.
Step 1 - File an FIR or e-Lost Report
It’s easier to do it online, so go to this link and file a report.
If you’re feeling adventurous, you can of course go to the nearest police station and file the FIR directly there but you and I are on very different wavelengths on what we both consider fun.
Note: There is a format to your e-Lost Report:
- Document Type: Educational Certificate
- Name Of Article: <UNIVERSITY NAME> SEMESTER <SEMESTER NO.> GRADESHEET
- Ensure that you file each semester gradesheet as separate lost items in your report.
I was burned without this info, my original report didn’t contain the university in the report and I was turned away. I had to file a second FIR with the above format.
Step 2 - Letter
You must now go to your faculty advisor with a printout of this e-Lost Report or FIR and a hand written letter describing your predicament.
The contents of the letter don’t really matter, just apologize for losing it and request a duplicate.
This letter gets forwarded to the HoD and then the principal. After this, at some undefined point in time it will reach the exam cell. Due to the uncertainty at which it will reach the exam cell, you need to be making daily visits just to check in on the exam cell. They will admonish you for coming late so to avoid that it’s best to just be regular about checking on the exam cell and asking about your letter.
Step 3 - Form
After the letter has arrived, you must fill out an Amrita-specific lost article form. If there’s any ambiguities just clear it up with the guys at the Exam Cell.
Step 4 - Notarized Affidavit
All these must be copied out, the lost reports, the Amrita form you just filled out, the signed letter from the principal into one bundle of papers. Proceed to an E-Stamp Center or any legal place that offers notarization services. You need a notarized affidavit for the lost articles
Here’s a place near college you can check out that offers these services.
E - Stamp Center- Kasavanahalli( M/s Sundar & Murthy Associates)
When you go to the notary, specifically ask for non-judicial 100 rupees bond paper and that you’re requesting this for a lost artifact.
Final Step - File For Duplicates
With all these pieces together, walk to the exam cell and hand in the affidavit along with everything else. Pay the amount, it’s 500 for each gradesheet… you will receive it in about 5-7 working days but check in with exam cell every day regardless.
Conclusion
Don’t lose your gradesheets.
